Terms and Conditions for Certificates Programmes and Related Activities

The following are the Terms & Conditions applicable to learning activities operated by Alef Trust CIC Ltd (hereafter referred to as ‘Alef Trust’) that are not offered in association with a partner university. They apply to Alef Trust’s certificate programmes and related activities (such as workshops). The Alef Trust recommends printing or downloading a digital copy of these Terms & Conditions at the moment of registration, for future reference.

These Terms & Conditions apply from the moment the user registers for an activity until that activity has ended and the user has received the associated diploma or certificate (subject to fulfilling all requirements), or until the participant has officially withdrawn or been deemed withdrawn from the activity.

The Terms & Conditions applicable to one activity / course depends on the duration of the activity / course, according to this classification:

  1. Activities with a duration up to 3 days.
  2. Activities with a duration of more than 3 days and up to 1 month.
  3. Activities with a duration of more than 1 month: these activities have specific Terms & Conditions for each activity. The registrant must consult below the section corresponding to the specific activity the registrant is registering for.

Next the general Terms & Conditions (applicable to all activities) are shown, and below the Terms & Conditions for each category according to the classification specified above.

GENERAL TERMS & CONDITIONS (APPLICABLE TO ALL ACTIVITIES REGULATED BY THESE TERMS & CONDITIONS)

  1. All customers registering into an activity to which these Terms & Conditions apply will be directed to a page with a link to these Terms & Conditions, as part of the registration process. By registering, the registrant accepts to be bound by these Terms & Conditions. After registering the registrant will acquire the status of user of the Alef Trust’s activity in which the registrant has completed registration and is referred to as such throughout these Terms & Conditions.
  2. All rights in the services and activities provided by Alef Trust, and their contents (including but not limited to text, photographs, graphics and downloads) are owned by or have been licensed to Alef Trust or are otherwise used by Alef Trust as permitted by applicable law. In accessing Alef Trust’s services or activities the user agrees that they will access the contents solely for their own personal, non-commercial use and acknowledges that they have no permission to copy, distribute, transmit, modify or show in public any part of the services or contents without Alef Trust’s prior written permission. All brand names, product names, and titles used in the Services are trade names, and in some instances trademarks, of their respective holders. No permission is given in respect of the use of any of the above, and such use may constitute an infringement of the holders’ rights.
  3. Additionally, the user has no permission to use any artificial intelligence model, large language model or similar technology to scrape, harvest, train or otherwise collect or process content from Alef Trust’s services or activities for any purpose (other than indexing content for inclusion in a search engine), including but not limited to machine learning, artificial intelligence training or data aggregation.
  4. The user will have access to the required electronic learning resources until the end of the service/activity. Access to these resources is dependent upon the user conducting themselves in a respectful and supportive manner to other members of Alef Trust’s online learning community. Alef Trust’s registrar can ask the user to leave the activity if the user’s behaviour is deemed disruptive, is affecting other users negatively, or if the user is using the resources inappropriately. This decision will be made by an Alef Trust committee with participation of the instructors of the activity and one other Alef Trust representative. No questions or discussions will be entered into, and Alef Trust will be the sole judge. The participant will not be entitled to any refunds.
  5. Where access to the digital resources associated with the activity is not open to all, it will be restricted to users having specific credentials (username and password) provided by Alef Trust. The provided credentials are for the use of the specific user to whom they were given and must not be passed to any other person in any circumstance. Failure to comply with this condition can result in the cancellation of the user’s access to the resources without any right to a refund.

TERMS & CONDITIONS SPECIFIC FOR ACTIVITIES WITH A DURATION UP TO THREE DAYS

  1. The user has the right to cancel their registration until the activity starts. The decision to cancel registration should be communicated by email to the registrar (registrar@aleftrust.org). There is no requirement to provide reasons, and the user will receive a full refund of any fees paid or a waiver of any fees the user had been liable to pay for the activity. 
  2. Once the activity has started the user will not be entitled to any refund.

TERMS & CONDITIONS SPECIFIC FOR ACTIVITIES WITH A DURATION OF MORE THAN 3 DAYS AND UP TO 1 MONTH

  1. The user has the right to cancel their registration until the activity starts. The decision to cancel registration should be communicated by email to the registrar (registrar@aleftrust.org). There is no requirement to provide reasons, and the user will receive a full refund of any fees paid or a waiver of any fees the user had been liable to pay for the activity.
  2. Once the activity has started, the user has the right to cancel their participation at any time but will be entitled to a partial refund only if this cancellation is communicated during the first week of the activity. This communication should be made by email to the registrar (registrar@aleftrust.org). The refund will be calculated as the proportion of the total fee paid by the user that relates to the activity that has not taken place at the time that the user notified Alef Trust of their intention to cancel, less 20% of the activity total price (with a maximum of 200 GBP), which sum relates to administrative expenses incurred by Alef Trust.

TERMS & CONDITIONS SPECIFIC FOR ACTIVITIES WITH A DURATION OF MORE THAN 1 MONTH

The specific Terms & Conditions (additional to the general Terms & Conditions above) applicable to activities with a duration of more than 1 month, are specific to each activity. The registrant must consult below the section corresponding to the specific activity the registrant is registering for.

SPECIFIC TERMS & CONDITIONS FOR THE PSYCHOSYNTHESIS CERTIFICATE COURSE

  1. The user has the right to cancel their registration until the activity starts. The decision to cancel registration should be communicated by email to the registrar (registrar@aleftrust.org). There is no requirement to provide reasons, and the user will receive a full or partial refund of paid fees, depending on the moment the cancellation is communicated: if more than 1 week before the course start date, the user will receive a full refund; if 1 week or less before the course start date a quantity will be subtracted related to administrative expenses incurred by Alef Trust. This quantity will be 20% of the course total price, with a maximum of 200 GBP.
  2. Once the activity has started, the user has the right to cancel their participation and receive a partial refund. The decision to cancel registration should be communicated by email to the registrar (registrar@aleftrust.org). The amount of the refund will depend on the timing of the user’s communication to the registrar stating their intention to cancel:
  1. If this communication is made during the first two weeks of the course, the refund will be any fees paid less 20% of the course total price.
  2. If this communication is made between the beginning of the third week and the end of the third month of the course, the refund will be any fees paid less 34% of the course total price.
  3. If this communication is made between the beginning of the fourth month and the end of the seventh month of the course, the refund will be any fees paid less 67% of the course total price.
  4. If this communication is made after the eighth month of the course has started, the user will not be entitled to any refund.
  1. If the user is unable to complete the activity due to adverse personal circumstances beyond their control (such as serious prolonged illness or an unpredictable change in economic circumstances), the user may request a Leave of Absence (LOA), which allows for a suspension of studies and re-enrolment in the activity in the following academic year. All decisions regarding LOAs and re-enrolment will be made on a case-by-case basis, and users have no warranty that their LOA request will be accepted. All circumstances will be carefully considered, and generally Alef Trust discourages users from interrupting their studies unless the circumstances are such that continuation at the time that the LOA is submitted is logistically impossible. LOAs are subject to the following financial and academic conditions:
    1. In order to qualify for a LOA, the user must have made all outstanding payments due as agreed. No further payments will be due until one month prior to the start of the new activity the user will be joining. At this time the user will be required to pay a deposit, refundable against the fees that will become due when they recommence their studies. This deposit is to secure a place in the new cohort of users. The amount of this deposit will be indicated in the LOA request application and may vary, but an indicative quantity would be 200 GBP. The payment of the deposit should be made one month before the start date of the new intake of the activity. At that time, Alef Trust’s staff will contact the user and provide specific instructions concerning this matter and any other applicable registration requirements.
    2. In any case the amount of the deposit will never be higher than the total balance due when the user resumes studies.
    3. The returning LOA user will be liable to pay fees at the rate payable by the cohort of users they are joining. Fees paid in the year in which the user took the LOA will be credited against the new due amount. If the Alef Trust increases the activity fees during the period of the LOA, the returning user will be charged at the new rate. This charge will be calculated according to the proportion of the learning activities that the user will take with the new cohort. 
    4. If the user had already paid all fees in the year in which the user took the LOA, the deposit will be just the difference between the paid amount and the fees for the new intake of the activity (if the fees for the new intake are higher).
    5. The remaining fees after having paid the deposit (including any pending instalment from previous years, plus the fees increase in case there is one) will have to be paid prior to the date the user will resume studies.
    6. During the LOA the user’s learning process will be suspended and the user’s access to all online resources of the activity will be suspended. The user will maintain access to Alef Trust’s Online Community. Alef Trust encourages users on a LOA to continue their participation in the community during their LOA.
    7. All marks obtained prior to the LOA will be retained/carried forward to the next intake of the activity. In certain circumstances, where there are linked assessments, or group assignments, it may not be appropriate to carry marks forward. This will be determined on a case-by-case basis.
    8. Alef Trust cannot guarantee that the activity on which the person was registered at the time of receiving a LOA will be available when they wish to return from the LOA. If the activity is discontinued by the Alef Trust, a refund will be offered to the user who is on a LOA. This refund will be calculated as the proportion of the activity for which the user has paid but not attended due to the LOA less 20% of the activity total price (with a maximum of 200 GBP), which sum relates to administrative expenses incurred by Alef Trust.
  2. The digital resources required for the activity will be accessible to the user until the official end date of the activity. However, if a user extends their learning process beyond that date, then it is the user’s responsibility to extract all the necessary files and information to continue their learning process in direct communication with the activity instructors, by other means than the digital platform through which the resources were accessible during the development of the activity.

SPECIFIC TERMS & CONDITIONS FOR THE CERTIFICATE COURSE ON HOW TO EFFECTIVELY SUPPORT PEOPLE IN SPIRITUAL AWAKENING AND SPIRITUAL CRISIS

  1. The user has the right to cancel their registration until the activity starts. The decision to cancel registration should be communicated by email to the registrar (registrar@aleftrust.org). There is no requirement to provide reasons, and the user will receive a full or partial refund of paid fees, depending on the moment the cancellation is communicated: if more than 1 week or less before the course start date, the user will receive a full refund; if less or equal to 1 week before the course start date a quantity will be subtracted related to administrative expenses incurred by Alef Trust. This quantity will be 20% of the course total price, with a maximum of 200 GBP.
  2. Once the activity has started, the user has the right to cancel their participation and receive a partial refund. The decision to cancel registration should be communicated by email to the registrar (registrar@aleftrust.org). The amount of the refund will depend on the timing of the user’s communication to the registrar stating their intention to cancel:

SPECIFIC TERMS & CONDITIONS FOR THE PROFESSIONAL CERTIFICATE IN TRANSPERSONAL COACHING PSYCHOLOGY

  1. Alef Trust undertakes to make available the learning resources and support required to allow the student to complete their programme of study. Details of the support provided within each area of study are given in the Professional Certificate Programme Guide. It is the student’s responsibility to ensure that they access this support and the resources as appropriate.
  2. Successful applicants are required to pay a non-refundable deposit of 200 GBP within one month of receiving their letter offering them a place on the programme. The deposit will be deducted from the first instalment of the fee payable for the programme. Alef Trust will invoice students prior to the start of the programme, with an option to pay in 2 instalments. The first instalment (half of the total price) will be due prior to the February start date, and the second payment will be due no later than 1st September in the year of study. In demonstrated cases of financial need, an application can be made to pay in more than two instalments. In this case the first instalment will be due before commencement of the relevant programme. Failure to pay subsequent instalments will result in the disabling of passwords and usernames for electronic learning resources.
  3. All students will have access to electronic learning resources, including a collaborative learning environment (CLE) until the end of the programme. Access to these resources is dependent upon the student conducting themselves in a respectful and supportive manner to other members of their online learning community.
  4. The CLE is a closed learning environment. It is the responsibility of each member of the learning community to maintain this environment. Usernames and passwords assigned to students for electronic resources are for the use of that student only and must not be passed to any other person in any circumstance. Failure to comply with this condition can result in the withdrawal of such resources.
  5. If a student decides to leave their programme of study prior to its completion, then Alef Trust must be informed by email or letter sent to the Programme Leader and copied to the Registrar. Verbal notification will not be sufficient. This requirement comes into effect as soon as an application form has been received from the student. The financial consequences of withdrawal depend on the timing of the student’s decision to withdraw, as follows:
    1. All students have the right to cancel their agreement to take up the offer of a place on the programme of study within 14 calendar days of receiving Alef Trust’s confirmation of their place by email. There is no requirement to provide reasons, and the student will receive a full refund of any fees paid or a waiver of any fees the student had been liable to pay for the programme of study.
    2. If the student informs the Programme Leader and Registrar of their intention to leave the programme after 14 calendar days of receiving Alef Trust’s confirmation of their place by email and prior to the start date of the orientation period, the student will receive a full refund of any fees paid less the 200 GBP deposit.
    3. If the student informs the Programme Leader and Registrar of their intention to leave the programme during the orientation period (before the first module of the curriculum starts) or within the first 14 calendar days of activity of the first module of the curriculum, the student will receive a full refund of any fees paid, less 500 GBP (which sum relates to administrative expenses incurred by Alef Trust).
    4. If the student informs the Programme Leader and Registrar of their intention to leave the programme after the first 14 calendar days of activity of the first module of the curriculum and before 1st September of the calendar year in which they commenced studying the programme, the student will be liable for 50% of the full fee for the programme of study. This applies also to those students with a customized payment plan: if at the time of withdrawing they have not paid the 50% of the full fee for the programme of study they will have to pay the remaining amount to complete the 50%. 
    5. If the student informs the Programme Leader and Registrar of their intention to leave the programme after 1st September of the calendar year in which they commenced studying the programme, the student will be liable for the full fee for the programme of study.
  6. If the user is unable to complete the activity due to adverse personal circumstances beyond their control (such as serious prolonged illness or an unpredictable change in economic circumstances), the user may request a Leave of Absence (LOA), which allows for a suspension of studies and re-enrolment in the activity in the following academic year. If the student takes three modules, the charge will be 100% of the fees increase, if two modules 67%, if one module 33%.
    4. If the student had already paid all fees in the year in which the student took the LOA, the deposit will be just the difference between the paid amount and the fees for the new intake of the certificate programme (if the fees for the new intake are higher).
    5. The remaining fees after having paid the deposit (including any pending instalment from previous years, plus the fees increase in case there is one) will have to be paid prior to the date the student will resume studies.

The student will maintain access to Alef Trust’s Online Community. Alef Trust encourages students on a LOA to continue their participation in the community during their LOA.

  7. Access to the online collaborative learning environment (Canvas): students will have access to the online collaborative learning environment until the official end date of their programme. However, if a student extends their learning process beyond that date, then it is the student’s responsibility to extract all the necessary files and information to continue their learning process in direct communication with the programme leader, outside of the online collaborative learning environment.
  8. Accreditation: Students will be awarded a Professional Certificate for their studies issued by Alef Trust. To achieve the certificate, students must demonstrate their learning efforts and progress by fulfilling the programme attendance and assignment requirements. 

For those applying for the Certificate in Transpersonal Coaching Psychology, please note that certification is awarded by Alef Trust upon successful completion of the learning tasks (such as forum participation and personal experiential work). This certificate is suitable for candidates taking the programme for personal enrichment and for those wishing to achieve coach accreditation with the International Association of Coaches, Therapists & Mentors (IACTM). By completing all three modules of this programme, students will have had a sufficient amount of training and will have accumulated sufficient coaching hours in order to be eligible for coach accreditation with IACTM. You will need to apply for IACTM membership following completion of the course.
